1.0 Name of the Club
1.1 The Club's name shall be the Abertillery Aikido Club. Bushinkai. Referred to here after as the "Club".
2.0 Aims and Objectives of the Club
2.1 The aim of the Club is to teach Traditional Aikido in a safe and disciplined environment.
2.2 The club operates a closed Dojo policy. All practicing Aikidoka from other clubs, or Organisations need to gain consent from the Dojo-Cho before attending the Dojo. Failure to do so, will only gain the person consent to watch and not practice.
2.3 Although the Club allows students aged sixteen and above, spectators would need to be eighteen or over. Anyone younger would need to be accompanied by an adult.
3.0 Membership of the Club
3.1 Membership of the Club will be open to everyone aged Sixteen years old and above.
3.2 It is the Club President/Dojo-Cho's right to turn down or cancel membership to members of the club on medical or any other grounds. This being based on the welfare and safety of the individual and that of other club members. New applicants who have the medical conditions of Rheumatoid Arthritis or Haemophilia will not be able to obtain training insurance, to which their application would be rejected immediately.
3.3 Individuals who are not members of the Club will not be able to participate in Club activities unless prior agreement has been given by the committee/Dojo-Cho.
3.4 Club members must act according to the Dojo etiquette guidelines, as set out in the Dojo & gradings document.
3.5 The club will issue grading booklets free of charge to all members. Members are reminded; these booklets are the property of the Club. If for any reason the grading booklet has to be withdrawn, the member must submit the booklet to the Dojo-Cho at once. The BAB insurance slip may be retained by the individual.
3.6 Only students in possession of a grading booklet are deemed a member of the club. Membership of the Shin Gi Tai is not considered automatic right to be a member of Abertillery Aikido Club.
4.0 Club subscriptions and Club Finance
4.1 A membership fee is required from all Club members to join the SGT. The Club's committee will determine this fee and are responsible for its collection.
4.2 Club members shall receive no direct or indirect payment, except for legitimate expenses incurred in connection with Club business.
4.3 Any expenditure on social activities shall be in accordance with the regulations approved by the committee.
4.0 Club Officials
5.1 An executive committee will conduct the Club's administration. This committee shall not operate autonomously. Planning activities, buying equipment and administrating other Club matters must satisfy all Club members. In the event, where there are not enough volunteers come forward to create a committee, the President/Dojo-Cho will take over the day to day running of the club.
5.2 The committee with consist of the following members:
President/Dojo-Cho
Chairman
Secretary
Treasurer
5.3 The executive committee will serve for one complete year.
5.4 Committee elections should be conducted in the first week of each April. The new committee should serve alongside the old committee for the remainder of April to promote the efficient 'hand - over' of the Club and to provide a period of apprenticeship for the new committee, overseen by the existing committee.
5.5 In the event of insuffient numbers interested in standing for election, the Dojo-Cho will take control of the club, until the following year. This will continue to happen, until there is suffient numbers to form a committee.
6.0 Duties of Club Officials
6.1 The Club President is responsible for:
· Ensuring that all Club Good practice guidelines are followed.
· Providing adequate provision for all members in the program of events.
· Providing a high standard of instruction and leadership for the members.
· Maintaining the ongoing good standards of safety.
· Keeping a record of the details and experience of all Club members.
6.2 The Club Secretary is responsible for:
· Administering the membership of the Club.
· Providing a full and detailed list of Club members to the SGT.
· Other duties decided by the committee.
· Ensuring affiliation with the Governing Body.
· Ensuring Insurance with the Governing Body.
· Dealing with the Governing Body for organisation of Gradings.
6.3 The Club Treasurer is responsible for:
· Collecting Club membership fees
· Collecting Insurance/Affiliation fees
· Administering the Clubs finances.
· Producing the Club's annual budget proposal.
· Other duties as agreed with the Club Committee.
· Organising and overlooking Club social events
7.0 Meetings
7.1 Meetings will be held at least twice a year, outside of the elections in the month of April.
8.0 Voting
8.1 This will take place for election of Club Officials and any issue that the Club deem to be of importance.
8.2 Only Club members will be entitled to vote.
9.0 Changes to Club Constitutions
9.1 Changes can be implemented if approved by the committee and a two thirds majority is obtained at an annual or ordinary meeting of the Club.
10.0 Club complaints Procedure
10.1 This procedure has been created to allow Club members to raise complaints about issues, which might include the following:
The safety of the club activities.
Poor standards of instruction or leadership.
The standard of the equipment used for Club activities.
Poor Club administration.
The Lack of suitable activities for their level of participation.
Disregard of Equal Opportunities.
10.2 Complaints concerning club safety or operational matters should initially be addressed to the Dojo-Cho. If this does not prove satisfactory a written complaint should be made to the Dojo-Cho. A reply will be received within ten days. If the reply is unsatisfactory then a committee meeting will be held with all members present, where the issue will be resolved if possible. If the complaint is against the Dojo-Cho, and no resolution can be agreed, the complaint will be forwarded on to the Shin Gi Tai.
11.0 Discipline
11.1 The club committee will decide what action should be taken with regards to discipline. If a grave action is brought to light, Police action may be taken.
11.2 The Club upholds a 'closed Dojo policy'. All visiting students/Instructors must follow our Dojo's etiquette rules. Failure to do so, would result in that person/s being asked to leave. The Dojo-Cho's decision is final.
11.3 The entry age for students is sixteen years and over. Spectators of any class must be eighteen years or over. No one under that age will be allow in to the Dojo, unless accompanied by a legal guardian aged eighteen or over.
